Job Description:

  • Database management - Serve as in-house Blackbaud/Raiser’s Edge expert and primary “owner” of GAIA’s donor database; Perform daily maintenance and enhancement of constituent records using Blackbaud and Classy; Monitor and maintain the accuracy, integrity and security of all data; Process/record all donations in a timely manner in partnership with Director of Finance;  Support Executive Director with acknowledgement letters, Support Director of Development & Communications  with development-related analysis.
  • Fundraising - Support stewardship activities; Support the planning and execution of vision trips to Malawi; Execute the distribution of the Annual (Year End) Appeal.
  • Grants - Coordinate reporting and communication on grants from Individuals, Family Foundations, Religious Organizations, and Corporations.
  • Events - Support the Director of Development & Communications in the coordination and execution of fundraising events and campaigns throughout the year; Manage on-site volunteers, and vendors; Help create and manage event sponsorship and invitation mailings, and manage response lists; Oversee post-event activity, especially accurate and timely acknowledgement of all gifts received.

 

General

  • Organize and coordinate operations and procedures to ensure organizational effectiveness and efficiency.
  • Administrative support including maintenance of files, preparing presentation slides, and any other tasks that may reasonably be assigned by GAIA’s Development & Communications Director.
  • Maintain inventory of office supplies and GAIA promotional materials, letterhead, envelopes, labels, etc. 
  • Maintain shared calendar, coordinate meetings and provide meeting support as needed.
  • Answer phone calls in the office.
  • Monitor general info@ emails, redirecting to relevant staff members when required and responding to general inquiries.
  • Liaise with IT specialists and facility management vendors to resolve any problems with networks, computers, phone systems, copy machines, etc.
  • Book travel and accommodations as needed
  • Compile the Board of Trustee packets (agenda, reports, financials, etc.) for quarterly meetings. 
  • Work with the Development Director to produce, distribute and manage prospective trustee packets.
  • Create/maintain a system for organizing materials on the organizational server.
  • Assist with website updates and execution of posts on social media channels as needed.
  • Support in booking  in-house or off-site activities, such as board meetings, donor lunches etc.

 

Qualifications:

Required

  • A passion for global health and improving lives 
  • 2-3 years of experience in an in-person office environment
  • Proficiency in Blackbaud/Raiser’s Edge, Classy, Adobe, Excel, and Google Drive and a willingness to learn additional software 
  • A successful track record of collaborating across cultures and continents 
  • A self-starter who is eager to take initiative, learn and share new ideas 
  • An ability to problem solve 
  • Superb attention to detail and demonstrable skill for system and process management
  • Outstanding written and verbal communications skills
  • Ability to manage multiple projects simultaneously and produce high-quality work in a deadline-driven environment
  • English language proficiency required 

 

Preferred

  • Experience working at a nonprofit organization
  • A background in fundraising, marketing, or as an executive assistant at a high-performing organization
  • In-depth knowledge of customer relationship management platforms, such as Blackbaud/Raiser’s Edge, Salesforce, or Classy.
